Organizing an awesome party can be a stressful affair, but it doesn’t have to be!

Define Your Party's Purpose and Theme


When deciding how to plan a party, the first step is to determine its purpose.

What are you celebrating and who is the party for?

Once you’ve determined the purpose, create an outline plan for your party:

  • Decide whether you will be hosting a formal dinner party, an informal buffet party, or a casual backyard barbeque.
  • If appropriate, select a theme that aligns with the occasion.
  • Set an approximate date and time for the event.
  • Determine the approximate number of guests.
  • Decide whether the party will be held at your home or an external venue.

Set a Budget


Before diving into the nitty-gritty details of how to plan a party, it's crucial to establish a budget.

Making your own decorations and using a streaming playlist instead of hiring a DJ can also help to reduce costs.

Consider the type of event you're planning, your budget, and the number of guests you'll be inviting when choosing your party venue. If you’re hosting a small gathering, your home may be the perfect venue.

For a larger party event, you may need to rent a space like an event center, restaurant, or explore outdoor options.

When selecting your venue, you should also consider factors such as capacity, getting to the venue by car or public transport, parking, washroom and any other required facilities.

Selecting the right venue is crucial to create the desired atmosphere for your party. Make sure that it complements the purpose and theme of your party!

Now that you've established who you will invite, the party venue, and the date and time of your party, you have sufficient information to send out invitations.

Aim to send out the invitations between two to six weeks in advance to ensure that your guests don’t make other plans and to give you sufficient time to organize the party.

Adapt the style of the invitations depending on how formal or informal your party will be.

If you're hosting a formal event you may choose to send invitations by mail. Other practical ways to send out party invitations include: creating a virtual invitation online and sending it via email, creating a Facebook event, or via text message.

Be sure to include the following information on the invitations:

  • Occasion.
  • Date, time and approximate duration of the party.
  • Venue details.
  • When and how to RSVP.
  • Any relevant formation such as the party theme, dress code, whether you expect people to bring a dish or drinks, costs and special dietary requirements.

Get help from your family and friends, or outsource certain tasks to make sure you don't become stressed and overwhelmed with the preparations.

I’ve listed some tasks you can delegate below:

  • Food preparation.
  • Party decorations.
  • Games and entertainment.
  • Receiving guests.
  • Babysitting or entertaining kids.
  • Serving drinks.
  • Preparing and handing out party favors.
  • Clearing up after the party.

When delegating tasks, make sure that the person involved fully understands what needs to be done and when.

Plan Your Food and Drinks Menu

Decide on a theme or color scheme for your decorations and make sure they match the occasion. For example, if you’re hosting a birthday party, you may want to use balloons and streamers in the birthday person’s favorite colors.

If you’re hosting a holiday party, you may want to use decorations that match the holiday, like Christmas lights and ornaments. For a dance party, you may consider using disco lights or a fog machine.

To ensure smooth execution you'll need to ensure that you have all the necessary supplies and equipment for the party.

Party Essentials

The supplies required will vary depending on the type of party you are planning to host. Here are some items you may need:

  • Formal Meal: Table linens, dinnerware, glassware, cutlery, table accessories, serving dishes, and serving utensils.

  • Informal Buffet Party: To facilitate the clean-up process during and after the party, I recommend using disposable plates, cutlery, cups, serviettes, serving dishes and serving utensils.
  • Washroom Supplies: Clean towels, handwash, toilet tissue, etc.
  • Party Favors: If you plan to give out party favors at the end of the party, remember to order the items and any required packaging well in advance.

When planning your party you’ll need to think about how to utilize the space available at the venue. This will depend on the size of the venue, the number of guests you will be catering to, and the planned activities.

You may wish to designate specific areas for the following:

  • Setting out and serving food dishes.

  • Seating or mingling.
  • A place to leave your guests’ belongings.
  • Guest activities and entertainment.
  • Temporary storage of dirty dishes and glasses.
  • Disposal of party waste.

If you will be hiring party services, find out whether they have any special requirements that must be provided at the venue.

When hosting a party at your home, check that you have sufficient tables and chairs for the number of guests that will be attending. If not, you may need to borrow or hire these items.

Depending on the food and drinks you plan to serve at the party, you may also need to consider obtaining a food warmer, portable fridge, or a chiller for drinks.

If you plan to use electrical equipment at the party venue, make sure that there are plug sockets and extension leads available.


Prepare the Party Schedule

  • Make a note of the time the party will start and when you expect it to finish.
  • List all the activities that will take place during the party, starting from the time guests will arrive and when they will leave. Arrange the activities in order of sequence.
  • Estimate the duration of each activity.
  • Check that the activities can be carried out within the expected duration of the party. If not, you may need to adjust the duration of each activity.
  • Designate a timeslot for each activity and you’re all done!


Make Sure Everyone Stays Safe!


Guest safety should always be a priority, so PLEASE take all the necessary precautions to avoid the risk of accidents!

When setting up the party venue, make sure that areas of transit are well-lit and free of trip hazards. Survey the party area before and during the party to identify any potential risks such as objects that can easily fall or spillages.

If you’re hosting the party at your home, you may also want to take precautions to prevent damage to your personal belongings.

If alcohol will be served, encourage responsible consumption and offer non-alcoholic alternatives.

Consider how you will handle guests if they become too drunk.


The Big Day!


After all that planning and preparation, the Big Day is finally here!
